Accounts Payable & Finance Coordinator

Founded in 1987, Prospect Park Alliance is the non-profit organization that sustains, restores and advances Prospect Park, "Brooklyn's Backyard," in partnership with the City. The Alliance provides critical staff and resources that keep the Park green and vibrant for the diverse communities that call Brooklyn home. The Prospect Park Alliance seeks a full-time Accounts Payable & Finance Coordinator.

Reporting to the Controller, the Accounts Payable & Finance Coordinator will be responsible for reviewing, verifying, entering and processing payments for Accounts Payable; records management and other clerical duties in the Finance department, as well as assignments in other departments as needed.

Responsibilities:

  • Data entry: Enter invoices and expense coding into the accounting system
  • Manage weekly check runs (run payment reports, issue checks, secure appropriate authorizations, and distribute payments)
  • Manage the Accounts Payable module to track and issue annual Form 1099 to relevant vendors
  • Coordinate and assist with monthly general ledger reconciliations and departmental reporting
  • Coordinating activities relating to strengthening our internal controls systems
  • Perform monthly reconciliations for employee credit card transactions
  • Make daily online deposits to bank
  • Prepare correspondence, forms and credit applications
  • Support for Finance office staff in liaising with vendors and with other departments
  • General clerical duties, including filing and records management
  • Manage office supply ordering
  • Assist with year-end audit preparation and tax forms as needed
  • Assist with finance related duties in other departments
  • Other job related duties as assigned and special projects and duties as directed

Qualifications:

  • Accounting experience / course work preferred
  • Ability to organize, maintain and keep a record of procedures
  • Accurate and detailed oriented
  • Software – working knowledge of Microsoft Excel and Word
  • Data entry experience a plus
  • A driver’s license valid in the state of New York and the willingness and ability to drive Park vehicles.

Schedule:

The schedule for this position is Mondays – Fridays, 9 am-5 pm, 35 hours per week or a schedule consistent with needs of department’s current projects
