Development Assistant-Fundraising Events

 

Be part of the driving force that sustains Prospect Park, Brooklyn's flagship park. The Prospect Park Alliance, the nonprofit that restores and advances the Park, seeks a full-time Development Assistant-Fundraising Events.

Reporting to the Director of Fundraising Events, the Development Assistant will support all aspects of the Development Department’s events program, which raise over $1 million annually, including the spring cocktail party and fall gala. Additionally, the Development Assistant will manage donor and cultivation events such as member events and tours, presentations by Alliance senior staff, visits to Brooklyn institutions, house parties, dinners and more. Responsibilities

Fundraising Events

  • Manage all aspects of silent auctions for two annual fundraising events including soliciting donations, building websites, coordinating auction displays, acting as primary contact and manager for silent auction staff and volunteers, and tracking auction winners and post-event communications
  • Support team on the messaging, design and vision of an event
  • Work with event volunteer committees on event strategies and design
  • Plan production details for fundraising events, working with external vendors on event details, scope of work and logistics
  • Prepare event gift/auction acknowledgments and invoices
  • Support fundraising event preparation and execution, including event committee and volunteer management; organizing contracts, permits and other event materials; day-of event execution; and other duties as assigned

Donor and Cultivation Events

  • Plan and execute events for Prospect Park Alliance members and mid-level donors, collaborating with Development and other key Alliance staff on event conceptualization and curation
  • Create invitation lists, manage invitation mailing, and track RSVPs where necessary
  • Collaborate with marketing staff on digital and print collateral for events
  • Work with external vendors on event details, scope of work, logistics, pricing and contracts
  • Develop event budgets and schedules, where necessary
  • Provide research on event attendees and prospects for individual giving staff, where necessary

General Development Support

  • Assist with a variety of Development Department functions and activities, as needed. May include:
  • Preparation of documents for Board of Directors meetings
  • Preparation of individual giving appeals, general acknowledgments and other mailings
  • General administrative support for Development department, such as timesheets and expense reimbursements

Desired Qualifications:

Required

  • Accuracy, efficiency, speed and attention to detail
  • Organization skills and ability to juggle multiple projects and tasks simultaneously
  • Comfort managing vendors and production timelines
  • Flexibility to react quickly to changing needs during an event and its set-up and load-out
  • Willingness to work occasional evening and weekend events
  • Driver's license valid in the state of New York and the ability and willingness to drive Park vehicles
  • Familiarity with Microsoft Office suite, including Excel

Preferred

  • Data entry experience, especially with nonprofits and with Raiser’s Edge or other fundraising database software, strongly preferred
  • Experience in live performance producing, technical production, or stage management a plus
  • Familiarity with web and email design a plus
  • Bachelor’s degree preferred
